The Challenge
The client’s primary challenge was a disconnected technology stack. Their community lived in Mighty Networks, their CRM and marketing automation were in HubSpot, and they used Zapier for basic connections. Key processes, like managing event schedules and processing new subscriptions from the community portal, were inefficient. Data had to be moved manually, and HubSpot workflows for subscription management could not be triggered reliably, leading to delays and potential errors in member services.
The Solution
The solution was a strategic integration project centered on Zapier. A custom Zap was built to act as a robust bridge between the Mighty Networks API and HubSpot. The solution involved creating a process where Zapier Tables were used to store, maintain, and update event and event date information, which was then synced to HubSpot. For subscription management, the integration was configured to capture subscription details from the portal and feed them directly into HubSpot, populating specific Static Lists. These lists, in turn, acted as the primary triggers for existing HubSpot workflows, automating the entire subscription management process.
The Results
The new integration has created a seamless and automated ecosystem for the client. The use of Zapier Tables provides a stable and easily manageable system for their event scheduling. Most importantly, the automation of subscription data into HubSpot Static Lists has made their member management workflows highly reliable. This has eliminated 100% of manual data entry, reduced processing errors, and ensured that members who subscribe via the portal are immediately enrolled in the correct follow-up and fulfillment sequences within HubSpot.
